“Don’t leave dollars on the table.” Jim Roche Previews What Dealers Need to Know for VADA ’26.

After vehicle inventory, warranty is the dealer's second-largest receivable. Yet, the industry has been processing these claims the exact same way for 80 years.

"Don't leave dollars on the table by not claiming legitimate reimbursements," Jim warns. He points to several hidden areas where dealers fail to optimize revenue simply because they don't know the OEM rules. For example, some OEMs allow dealers to claim floor plan expenses when a vehicle is stalled on the lot due to a recall. Others will reimburse over $3,000 a month for service shuttle buses—which can add up to $72,000 annually if you have two shuttles running.

"If you take anything small in dollars and multiply it by 300, 400, 500 ROs a month, it's real money," Jim explains.

 

Automating the Back Office

A massive operational expense for dealerships is the manual processing of claims. The average cost of a warranty administrator with benefits is between $70,000 and $80,000. By utilizing AI and technology to handle mundane tasks like double data entry, dealers can cut that expense by more than half.

Even better? It improves employee retention. People don't enjoy repetitive, manual data processing. Shifting those tasks to autonomous agents allows dealership personnel to focus on higher-level, engaging work.
